1. Who this policy applies to
HireAegis provides application filtering and fraud/automation detection for hiring workflows. This policy covers our marketing site and the HireAegis application.
- Customers (employers/recruiting teams) use HireAegis to review and manage applications.
- Applicants submit applications to job boards hosted by HireAegis on behalf of our customers.
If you are an applicant, the employer you applied to controls decisions about your application data. We process applicant data on the customer’s behalf to provide and secure the service.
2. Information we collect
2.1 Account and customer information
- Name, work email, and organization details.
- Authentication and session identifiers (we use third-party authentication providers).
- Support messages and feedback you send us.
2.2 Applicant submissions
When an applicant submits an application to a HireAegis-hosted job board, we collect the information they provide in that submission (for example: contact details, resume content, cover letter, and other fields configured by the employer).
2.3 Anti-fraud and security telemetry
To prevent spam, automated submissions, and abuse, we may collect security telemetry such as IP address, device/browser information, timestamps, and interaction signals on application forms (mouse/touch, scroll, focus, and keyboard events). This can include the current value of fields as they are being completed. We do not intentionally collect passwords (password fields are excluded).
2.4 Automatically collected usage data
- Basic logs needed to operate, debug, and secure the service (including error logs).
- Usage and performance data (for example: page loads, feature usage, and latency).
3. How we use information
- Provide, maintain, and improve HireAegis (including customer support).
- Detect and prevent fraud, automation, spam, and security incidents.
- Generate reviewer-friendly findings to help customers triage applications (not automatic hiring decisions).
- Communicate product updates and important service notices.
- Comply with legal obligations and enforce our terms.
4. Sharing and disclosure
We do not sell personal information. We share information only as needed:
- With customers: applicant submissions and related findings are visible to the employer you applied to.
- With service providers: vendors who help us run the service (authentication, hosting, monitoring).
- For legal reasons: to comply with law, protect rights, and prevent abuse.
- Business transfers: if we’re involved in a merger, acquisition, or asset sale (with notice where required).
5. Cookies
We use cookies and similar technologies for core functionality (like keeping you signed in) and to understand performance and reliability. You can control cookies through your browser settings; some features may not work if cookies are disabled.

- Customers: can access and update account information through the application.
- Applicants: should contact the employer they applied to for access, correction, or deletion requests.
- You may opt out of non-essential communications by following instructions in the message.

We may update this policy as HireAegis evolves. If we make material changes, we’ll post the updated policy and, where appropriate, provide additional notice.
